Lighthouse Autism Center is the leading Applied Behavior Analysis (ABA) therapy provider in Indiana, Michigan, and Illinois and expanding within those states and other states across the U.S. Since 2012, Lighthouse Autism Center has provided the highest quality, center-based ABA therapy to children with autism. At Lighthouse, children work on things like social skills, daily living skills, communication skills, and school-readiness skills. All children are overseen by Board Certified Behavior Analysts and programs are implemented by Registered Behavior Technicians. Lighthouse Autism Center also has full-time Speech-Language Pathologists on staff who provide co-treat and consultative services speech therapy services to children who attend the centers.
Job Function:
The Human Resources (HR) Onboarding Coordinator is responsible for executing the end-to-end onboarding process for new hires across multiple states and centers, ensuring a compliant, efficient, and positive new hire experience. This role manages all transactional and administrative aspects of onboarding, including offer-to-start coordination, Paylocity onboarding workflows, I-9 and E-Verify compliance, background checks, and new hire documentation. The HR Onboarding Coordinator partners closely with Talent Acquisition, HR Operations, Payroll, and center leadership to ensure onboarding readiness, accuracy, and consistency at scale, while proactively identifying opportunities to improve processes, reduce errors, and enhance the overall onboarding experience.
General Responsibilities:
- Facilitate the full onboarding process for new hires across multiple states and centers, ensuring accuracy, timeliness, and compliance.
- Coordinate Paylocity onboarding workflows, including new hire setup, documentation completion, system accuracy, and handoff to Payroll.
- Coordinate and ensure completion of I-9 and E-Verify requirements in compliance with federal and state regulations.
- Initiate, track, and monitor background checks and other pre-employment requirements, following up as needed to ensure timely clearance.
- Serve as the primary point of contact for new hires regarding onboarding steps, documentation, and start-date readiness.
- Partner with Talent Acquisition and Center Leadership to ensure smooth transitions from offer acceptance through day-one readiness.
- Ensure onboarding processes align with federal, state, and local employment laws, as well as internal policies and audit requirements.
- Maintain accurate and confidential employee records in HR systems and ensure data integrity.
- Identify trends, bottlenecks, or recurring onboarding issues and recommend process improvements to HR Operations leadership.
- Support onboarding-related reporting, audits, and compliance reviews as requested.
- Provide guidance and troubleshooting support to managers and new hires related to onboarding systems and requirements.
- Contribute to continuous improvement of onboarding workflows to support organizational growth and scalability.
- Other duties as assigned.
Skills & Abilities:
- Strong working knowledge of onboarding best practices, employment eligibility requirements, and compliance standards.
- Demonstrated experience managing onboarding at scale in a multi-state environment.
- High attention to detail and ability to manage high-volume, deadline-driven work with accuracy.
- Strong organizational and time management skills with the ability to prioritize competing onboarding timelines.
- Clear and professional communication skills; able to work effectively with candidates, leaders, and cross-functional partners.

Qualifications:
- Associate Degree in Business Administration, or related field preferred.
- HR certification (SHRM-CP, PHR, SPHR, or equivalent) preferred.
- 1-2 years of onboarding experience, with direct responsibility for onboarding execution.
- Hands-on experience with Paylocity preferred, including onboarding workflows and employee record management.
- Experience supporting onboarding in a multi-state organization with varying compliance requirements.
- Knowledge of I-9 and E-Verify processes required.
