The Collections Specialist is primarily responsible for collecting payments on all outstanding invoices, assisting in customer credit analysis, and recording all relevant collection communications. This position serves as one of the primary faces of the company to our customers and as such should have clear and concise verbal and especially written communication skills.

Primary Position Tasks:

  • Contact each commercial and government account with an open receivable according to the collections guidelines to record the estimated payment date.
  • Identify any barriers to collection as provided by the customer and work with the billing team as needed to make any invoice corrections and/or resubmissions.
  • Document all correspondence with the customer in the appropriate database and/or spreadsheet.
  • Promptly and accurately record cash receipt transactions, and update collection comments/notes accordingly. Prepare data for reporting to upper management as requested.
  • Perform complex account reconciliations involving short pays, credits, and previous misapplications with an end goal of cleaning up all aged accounts and maintaining a clean ledger for each.
  • Other business duties as assigned

Minimum Education/Certification/Experience Requirements:

  • High school diploma or equivalent; some college-level work preferred

  • Relevant work experience may be substituted for college-level work

Preferred Education/Certification/Experience:

  • Working knowledge of job-related aspects of Navision, Costpoint experience a plus
  • Prior collections experience, 2-3+ years minimum
  • Workstation productivity software: Microsoft Outlook / Office (Excel, Word)
  • Ability to read and understand customer contracts to aid in invoice collection
  • Ability to learn and understand customer websites for invoice updates and payment advice.

Knowledge, Skills, and Abilities:

  • Computer keyboarding skills and general computer knowledge

  • Basic math skills and understanding accounting methods
  • Organized work methods
  • Excellent ability to prioritize workload and tasks
  • Working knowledge of all aspects of MS Dynamics Navision and Deltek Costpoint related to position
  • Workstation productivity software: Microsoft Outlook / Office (Excel, Word)
  • Internet research for invoice collections
  • Excellent communication skills via phone, email, and/or face to face with both internal and external customers in an efficient and clear manner

Essential Elements (Mental; Physical; Equipment used):

  • Ability to attend work for all regularly scheduled hours
  • Ability to work extended hours as necessary as business needs dictate
