Position Summary:
The Beauty Traffic Coordinator is responsible for managing the intake, scheduling, and tracking of creative requests within Outform’s Beauty vertical while providing occasional support for non-beauty projects as needed. This role plays a critical part in ensuring the efficient flow of work between commercial teams and creative resources, facilitating seamless execution from request to delivery.
This position is hybrid, requiring at least three days per week in-office, and can be based in Miami, Los Angeles, Chicago, or Union City.
Reporting Structure:
The Beauty Traffic Coordinator is a key member of the Agency Services team, responsible for managing creative workflow and traffic coordination specifically for beauty-related projects. This role has a dual reporting structure, reporting directly to the Department Head while maintaining a strong dotted-line relationship with the Creative Director overseeing Outform's Beauty vertical.
Responsibilities:
- Project Intake & Scheduling
- Lead the intake and processing of creative requests from the Beauty vertical’s commercial teams, ensuring all required information is captured.
- Develop and maintain detailed project schedules, setting milestones and deadlines in collaboration with account managers and creative leads.
- Assist the Creative Director and Team Leads in assigning projects based on team capacity, priorities, and deadlines.
- Monitor and update project timelines, proactively identifying risks and keeping stakeholders informed.
- Workflow & Coordination
- Oversee the design schedule, ensuring alignment between creative and commercial teams as projects progress.
- Organize and facilitate project briefings, ensuring creative teams have all relevant information and assets to execute efficiently.
- Track project workloads and resources, making necessary adjustments to deadlines and assignments when needed.
- Support global creative resources when applicable, ensuring alignment with Outform’s broader initiatives.
- Communication & Documentation
- Act as the primary liaison between commercial, creative, and other internal teams, ensuring seamless coordination and project execution.
- Schedule and manage meetings to gather project details, track progress, and address potential roadblocks.
- Maintain comprehensive and accessible job files to ensure accurate and organized documentation across the organization.
- Support for Non-Beauty Projects
- While the primary focus is the Beauty vertical, provide agency services coordination support for other business verticals as needed.
Qualifications:
- Bachelor’s degree required.
- Strong multitasking, organizational, and collaboration skills.
- Proven ability to prioritize tasks and make informed decisions to maintain smooth operations.
- Excellent people management and communication skills, ensuring clear and effective coordination of client requests and project assignments.
- Proficiency in Microsoft Suite and project management software.
- Attention to detail, problem-solving skills, and ability to work in a fast-paced, deadline-driven environment.
- Experience in traffic management, creative project coordination, or a similar role within an agency or corporate setting.
- Prior experience working in agency traffic management is a plus.
- Knowledge of design processes and creative resource management is a plus.
Location & Work Environment:
- This is a hybrid position requiring a minimum of three days per week in-office.
- The role can be based in Miami, Los Angeles, Chicago, or Union City.
