Job Summary
The Logistics Coordinator plays a key role in facilitating seamless communication between stakeholders and freight partners. This role primarily focuses on data entry, data processing, and data management, ensuring accurate and timely information flow across the organization. The Logistics Coordinator will collaborate with various teams, support both the Account Project Management (APM) and Production Project Management (PPM) teams, and work across multiple platforms, including Excel and ERP systems. This position requires strong organizational skills and the ability to work in both front-end and back-end operations.
Responsibilities
- Enter project information into CHI systems.
- Create Advanced Shipping Notices (ASNs).
- Assist with the collection and organization of artwork files.
- Update and maintain monthly tracking reports for kits.
- Follow up on tracking exceptions with the PPM team and initiate replacement requests.
- Generate tracking summary reports for OOKs (Out of Kits).
- Act as the main point of contact for delivery exceptions, liaising with FedEx and other freight carriers to resolve issues.
- Alert the DSG team to any delivery problems and ensure they are promptly addressed.
- Provide support with Sugar Entry, Sales Orders (SO), and estimating Smartsheet entries.
- Distribute internal estimates and updates to relevant teams.
- Create carton copies and support inventory & NSO replenishment.
- Assist the Logistics Manager in arranging carrier services for both domestic and international shipments.
- Coordinate and update all necessary shipping documentation for foreign and domestic deliveries.
- Ensure timely updates of tracking details to key stakeholders.
- Provide backup for coworkers in the department during periods of absence (vacations, illness, etc.).
- Take meeting minutes when needed.
Qualifications
- Strong attention to detail and excellent note-taking skills.
- Proficient in basic computer skills, particularly Microsoft Office (Excel for data entry).
- Excellent verbal and written communication skills, with the ability to communicate effectively over the phone and in person.
- Ability to work efficiently under pressure and manage multiple tasks simultaneously.
- Knowledge of logistics and transportation is a plus.
- High School Diploma or GED required; additional education or certifications in logistics or related fields is a plus.
- Highly organized and proactive, with a strong sense of responsibility.
- A team player who can collaborate effectively across departments.
- Adaptable and willing to support colleagues in a dynamic work environment.
Physical Requirements
