Responsibilities
- Provide executive-level administrative and operational support to C-Suite leaders, exercising sound judgment in managing complex calendars, high-volume email and communication flows, executive priorities, and strategic scheduling needs.
- Anticipate executive requirements by proactively identifying issues, preparing background materials, and ensuring leaders are equipped for meetings, travel, and key decisions.
- Independently coordinate complex domestic and international travel, itineraries, logistics, and expense reconciliation while ensuring alignment with organizational objectives and budget guidelines.
- Draft, review, and refine executive-level correspondence, reports, presentations, and financial or operational documentation with a high degree of accuracy and professionalism.
- Serve as a trusted liaison across departments, senior leadership, external partners, and stakeholders, facilitating communication, alignment, and timely resolution of operational challenges.
- Oversee administrative workflows, recommend process improvements, and lead special initiatives or project-based assignments with minimal oversight.
- Represent C-Suite leaders in meetings or communications when appropriate, ensuring follow-up items, action plans, and deliverables are completed.
- Maintain the highest level of confidentiality, discretion, and integrity while managing sensitive organizational and personnel information.
Qualifications
Preferred Education / Experience:
- Associate’s degree in a related field, or an equivalent combination of education and experience
- Minimum of 5+ years of relevant professional experience
- Prior experience as an Executive Assistant supporting multiple leaders
- Experience working within the Department of Defense (DoD) environment
- Proven experience in office management, executive support, or administrative coordination
- Strong organizational and multitasking abilities with excellent attention to detail.
- Proficiency with calendar management tools, Microsoft Office Suite, and collaboration platforms (e.g., Teams, Zoom, Slack)
- Excellent communication and interpersonal skills with the ability to interact at all levels of the organization
- Ability to handle confidential information with discretion and professionalism
- Proactive problem solver with a high degree of initiative and adaptability
