Overall Summary:
The Mail Processing Coordinator supports the mail acceptance department by managing all mailing activities and postal reporting information across the enterprise. Responsibilities include overseeing USPS postal forms, ensuring compliance with Seamless e-documentation requirements, and reconciling postage for mailing programs in accordance with USPS regulations.
Primary Duties/Responsibilities:
- Support client statement coverage for production across the enterprise and act as primary interface with Scheduling, Warehouse, Client Services and Finance departments.
- Assist and support USPS on any active mail acceptance mailing requirements and issues.
- Ensure accurate, timely, and complete information is collected and/or created to satisfy the needs of the USPS, internal departments, and external customers.
- Monitors both production and warehouse activities to ensure all required jobs are on target to mail on expected planned date(s).
- Monitors commingle pallets to ensure all pallets will be in-checked, loaded, shipped and mailed by expected planned date(s)following the commingle cycle date.
- Accountable for reporting mailing information so that the enterprise operations can be measured for continuous improvement goals on postage costs, regulatory compliance, mailing preparation quality, information accuracy, and timeliness of reporting.
- Monitor Seamless acceptance mailings in an USPS auto-finalization environment across the enterprise to make sure client mail dates are met.
- Review and evaluate all available internal postage, mailing, and system tracking reporting tools used to manage and monitor job level performance across the enterprise to ensure accuracy.
- Participate in daily commingle and production calls during scheduled work hours.
- Support internal teams with mailing software testing as needed.
- Provide training to Client Service team members on postal program changes, including USPS Promotions, to enhance their knowledge and ensure the accuracy of IWCO’s mailings.
- Perform other duties as assigned.
Required Skills/Abilities/Competencies:
- Microsoft Office Suite proficiency, especially Excel.
- Excellent oral and written communication skills.

- Strong organizational skills and thrives on working independently.
Education and Experience:
- High school graduate or equivalent required; related associate or bachelor’s degree a plus.
- 1+ year mail industry experience required; knowledge of postal regulations preferred.
- USPS postage rates and PostalOne! knowledge preferred.
- Previous experience with postal statements, mail sorting, mail acceptance, and postal affairs preferred.
- Accounting and/or warehouse experience are a plus.
Physical Requirements:
- Ability to work 8 hours consecutively.
- Flexibility to work overtime when needed.
- Prolonged periods of sitting at a desk and working on a computer.
- Occasionally required to work on the production floor.
- Ability to lift, carry and push/pull up to 35 pounds.
Salary:
The starting hourly range for this position is $20.00-23.50/hr.
